SPECIAL SESSION & TUTORIAL RESOURCES

Congratulations on being accepted to present at ICCAD 2021!

This Special Session & Tutorial Speaker Resource Center is designed to help Technical Session presenters prepare for your papers, slide presentation, and responsibilities at conference.

The paper and the copyright have to be submitted through SoftConf by clicking on the accepted paper title under Your submissions and then clicking Final submission: Submit your Final submission.

https://www.softconf.com/l/iccad2021-st

One author per accepted paper must register for the virtual conference and attend the virtual conference to present their paper. Authors who do not attend the virtual conference to present their papers will not have their paper published in IEEE Xplore, per IEEE policy. If an author has multiple papers accepted in ICCAD 2021, each paper should be accompanied by a separate registration; we recommend different co-authors to register for different papers so that they can all attend the conference.

You should have received the notification on July 2. Please contact Special Session and Tutorial Session Chair if there are any questions regarding the acceptance of your paper. If you have any further questions, please reach out to Jinjun Xiong at jinjun@buffalo.edu.

Due Date: Monday, September 6
As a reminder, each final manuscript must be no more than 8 pages (including the abstract, figures and tables), double-columned, and 9pt or 10pt font. One page of references is allowed, which does not count towards this 8-page limitation.
Please review the IEEE Conference Paper formatting guidelines for information about your papers required format.

Please note that the ACM format will not be accepted this year.

About PDF eXpress
It is required to run your final paper through the IEEE eXpress submission site to make sure the PDF is compliant. IEEE will return to you a certified copy of your paper attached to the confirmation email this is the certified version of your final manuscript that you will submit to ICCAD. Please note that this IEEE certification is required for publication, and that this certification is indicated in the document properties of your final PDF.

Begin using PDF eXpress

1. Prepare your Final Manuscript
Proofread your source document thoroughly to confirm that it will require no revision
Use the IEEE Template
Remove the IEEE Copyright Stamp on the bottom left of the first page

2. Create a PDF eXpress Account for ICCAD 2021
Use the following URL to access PDF eXpress: https://ieee-pdf-express.org/

Select Create Account at the bottom of the page, then enter the following:
  • 51958X for the Conference ID
  • Your email address
  • A password
  • Other information, as prompted
Previous users of PDF eXpress will also need to follow the above steps, but should enter the same password that was used for previous conferences.

Once your submission is uploaded, a confirmation message will be displayed and an email confirmation will be sent verifying your account setup. Verify that your contact information is valid.
You will have the opportunity to revise your submission to eXpress if you are not satisfied with the PDF that it creates for you, if you find mistakes in your manuscript, or if your PDF fails the PDF Check. Please be sure to begin this process as soon as possible as eXpress is a tool which can be used multiple times, but we can only accept the final manuscripts through SoftConf, and only before the ICCAD 2021 final paper submission deadline.

Why do I need to use PDF eXpress?
The new IEEE Xplore® Requirements for PDF has been enforced as of 2005. All conference articles submitted to IEEE sponsored conferences must be in IEEE Xplore-compatible PDF format.
IEEE offers PDF eXpress as a free service to IEEE conference authors, allowing you to make Xplore-compatible PDFs (Conversion function) or to check PDFs you have created yourself for Xplore compatibility (PDF Check function).

Advantages to authors:
  • It provides a means for you to convert your files to PDF, without requiring you to have access to a conversion program.
  • This conversion is provided in an IEEE Xplore compatible format, without you having to worry about conversion settings.
  • The system emails the converted file back to you, so you can make sure that your contribution is IEEE Xplore compatible and that no unintended corruption occurred.
  • It ensures that your paper views and prints as well as possible in IEEE Xplore.
  • By minimizing the risk of post-processing problems, it reduces the amount of time it will take for your paper to appear on IEEE Xplore.
  • It greatly simplifies the task of conforming to IEEE submission requirements.

Resources and Support
Access the Publications Support Center for support, specifically IEEE PDF eXpress related FAQ, if you have any trouble using this tool. If you do not find an answer in the Find Answers tab, go to the Submit a Question tab. Your question will be forwarded to IEEE PDF Support and answered within 3 business days.

Video Recording Instructions for Accepted Authors
On behalf of the organizing committee, I am pleased to welcome you to the IEEE ICCAD 2021 Virtual Conference! We are excited to host your talk in this years presentation format. Each paper is required to have a 20-25 minute long pre-recorded video as well as a shorter pre-recorded or live presentation (at most 7 minutes followed by Q&A) during the virtual conference.

The video recording should be composed of a brief introduction with webcam, followed by voice over slides. Please note that the upload must be a video file in MP4 format (more details below). PDF and PowerPoint files are acceptable if you are submitting slides in addition to your MP4 video, but please do not submit a PDF or PowerPoint in place of an MP4 video file.

In addition, to create an engaging live program, each paper is required to also have a shorter live presentation live via Zoom in addition to the pre-recorded long presentation. Each paper has, at most, 7 minutes of available presentation time, followed by 3 minutes of Q&A. This presentation can be given by any author, as long as they are registered to the conference (and thus have access to the Zoom call). This short live presentation can be pre-recorded or delivered live; we leave the decision to the authors. However, at least one author per paper is required to attend the virtual conference session for this presentation and subsequent Q&A.

In order for videos to be verified by the session chair, there is considerable urgency in preparing and uploading your video. Accordingly, we ask you that you please finalize and upload your video no later than Friday, September 17.

Instructions for recording your presentation

There are several video conferencing tools available to easily record a presentation. In this method, you can show your face via webcam and display your slides as you speak. You can use any meeting software as long as you get a good quality recording and your final file is in the MP4 format. Here are some links to instructions on recording a meeting on common platforms:
You can also use the two-step method covered here: Create Voice Over Power point and convert to MP4

Guidelines for preparing your video

Duration: 20-25 minutes (minimum 15 minutes)
File size: 1000 MB (maximum)
Video file format: .mp4
Dimensions: Minimum height 720 pixels, aspect ratio: 16:9

Please be sure the video includes the title of the talk, your name, and a mention to ICCAD 2021.

Tips for Recording your video

  • Use as quiet an area as possible, and avoid areas that have echo. Use a fairly small room, and look for sound dampening items such as carpeting, curtains, and furniture.
  • Use a good headset with microphone close to mouth BUT away from direct line of mouth to reduce pops. Please note that even a basic headset is better than most built-in microphones.
  • Do a test recording of a couple of minutes and review the sound and picture quality, MP4 format, and bit rate before recording the entire presentation. Make adjustments if needed.

Uploading your video (Deadline: Friday, September 17)

Instructions for uploading your file will be available on or before September 1.
Please prepare the following items for submission:
Recording of your talk (MP4)
Slide deck used during your presentation (.PPT or .PDF)
Short biography of selected presenter

If you require additional guidance with recording your presentation, please contact Caroline at ckravec@conferencecatalysts.com.

We hope to make IEEE ICCAD 2021 a success despite this years situation, and we are excited to introduce you to this virtual conference format! We thank you for your cooperation in this endeavor.
